WORKFLOWS


In the Netforce All in One Software Solution, workflows are defined for different processes. The access rules to the different workflows stages and approvals  can easily be configured.

 

1. Workflow Purchasing

Purchase Request

Purchase Order

Purchasing method started with Purchase Request. This request is raised internally from any department. Once the request is approved, Purchasing department will then summarize the information and create Purchase order to sent out to supplier.

2. Workflow Sales

2.1 Leads

A lead is entered in status open, the next activity is to contact the lead and status is changed to Contacted. In case the lead becomes a potential sales, the status is changed to Qualified. In case there is no potential sales , the lead becomes unqualified and can be changed to recycled when the lead has to be reassessed at a later stage.

​2.2 Opportunities

Once a lead is qualified, an opportunity can be created. The opportunity will be entered with status open, at that stage quotations can be attached to the opportunity and the status will change to won or lost when the quotation is won or lost

​2.3 Quotations

Quotations are entered in draft form and submitted for approval. Approval of quotations can be configured in the access control menu in the general Menu.

Once Approved the quotations stage will be updated. and the quotations can then be updated to Won or Lost. The updates of the quotation stage will automatically update the Opportunity either to lost or Won.

Selecting a specific line item will display the details of that quotation. It’s always possible to change the status of the quote by selecting Reopen. Once the quotation status is changed to won, the quotation can be copied to a Sales Order.

​2.4 Sales Order

The different Sales Orders by status can be viewed by selecting the corresponding tab. The approval cycle of the sales order can be configured in the access control menu item in the general main menu.

To view the details of the Sales order click on the line item.

The tick boxes of the sales order delivered and paid will be updated automatically when the invoice related to this sales order has been paid and the goods issue form has been confirmed. Once delivered and paid, the Sales Order can be changed to Completed. Related invoices, goods issued, and other activities related to this sales Order will be shown above.

3. Workflow Inventory

The different stages of goods receipt, goods issue, goods transfer are following the following workflow:

4. Workflow Invoice and Payment

Invoices are created in Draft form and need to be approved before a journal entry is created. Once the draft is finalized, the invoice can be submitted for approval. When the invoice is approved, the invoice will be sent to the customer and the status changed to Waiting for Payment. When payment is received, the status of the invoice will change to Paid. All these different stages within the process are clearly visible and the number of invoices and amounts for the different stages are shown. The status summary shows the number of transactions and value. Selecting the specific workflow status will display the transaction details.

5. Workflow Fixed Assets

Different stages of Fixed Assets recording can be viewed by selecting the relevant tags. To see the details of each item, tap on the line item.
